Managing vendor credits is simple with the "My Credits" feature. Here’s a straightforward guide to help you quickly add, track, and update vendor credits.

Accessing Vendor Credits

To start, head over to the individual vendor’s page. From there, click on the My Credits tab. This is your main hub for viewing and managing credits.

Adding Credits to an Individual Vendor

When you need to add credits for a specific vendor, click Add Credit from their credit management page. Enter the amount (for example, $5), select an expiration date if applicable, and write a quick note or description (like "Seasonal promotion"). Click Save, and you’re all set. You’ll receive a confirmation email, and you can verify the new balance directly on the vendor's account page.

Searching and Reviewing Credits

If you need to find specific credits or see what's currently active or expired, use the search feature on the My Credits page. You can filter by status, date, or description, which makes keeping track of vendor credits effortless.

Adding Credits in Bulk

To save time when adding credits to multiple vendors, click Bulk Add on the My Credits page. You'll then decide how you want to allocate credits—either by specific market dates or directly by vendor selection. Set your credit amounts, expiration dates, and provide a general description to keep things organized.

Customizing and Sending Bulk Credit Emails

When sending bulk credits, you have the option to notify vendors by email. Simply toggle Send Email on, then write a personalized message explaining the credits. You can use the Generate Email button to automatically draft an email using the OpenAI API—just review and edit it before sending to ensure clarity.

Sending Your Credits

Once your batch details and emails look good, click Add Credits to Email. Confirm, and the system will send out notifications and update vendor balances instantly.

Correcting Mistakes (Voiding Credits)

Mistakes happen! If you accidentally add a batch of credits, don’t worry—you can reverse this quickly. Go to the batch in question and use the Void Credits button. Confirm the action, and those credits will be removed immediately.

Monitoring Credit Status

For ongoing accuracy, periodically return to the My Credits tab. Here you can easily check vendor balances and ensure credits are correctly applied and tracked.
